Administrative Coordinator [3 months contract]

Responsible

  • Order management •Retailers’ order invoices download and SAP order entry •Order entry in the internal ERP system •Order invoice checking • DC delivery schedule booking and shipment tracking •Retailers’ inventory quantity management • Check promotional status (Checking price and voucher)
  • Cost management •Cost voucher management and entry
  • Administration & Coordination •Process sales orders accurately and in compliance with company policies. • Support sales team with required documents and information. •Manage customer service tasks including order fulfillment and on-time-in-full delivery. •Plan and order products and GWPs for supply and distribution to customers and distributors.
  • Supplier & Repackaging Management • Coordinate with suppliers to ensure availability of repackaging materials (e.g., FDA labels, pop-up stickers, boxes, lot stickers) in alignment with production plans. •Manage relationships with suppliers of finished goods and repackaging services, ensuring quality and regulatory compliance. •Monitor supplier performance, confirm artwork/mockups, check packaging standards and resolve redressing or delivery issues. •Oversee new product launches, pack changes, and local repack processes.
  • Warehouse & Logistics Coordination •Collaborate with warehouse and transportation teams for proper storage, movement, re-packaging, and distribution of goods. •Arrange truck queue, loading schedule, and delivery plans. •Enter and manage truck and driver information (e.g., truck type, license number, driver name/contact). • Match trucks with purchase orders and coordinate delivery date/time. •Confirm and download gate pass reports post-booking confirmation. •Monitor shipment status to ensure on-time delivery to warehouse..
  • Documentation & System Handling •Manage documentation for supplier payments (T/T or L/C), shipping, and inventory. • Handle vendor creation and manage approval workflows via internal system •Enter stock movements into SAP and maintain data accuracy. •Generate and consolidate sales data, ensuring quality and completeness. •Coordinate with translators for product content translation including usage instructions and warnings.
  • Documentation & Ad Hoc Support •Perform additional administrative or operational tasks as assigned by management. • Maintain good communication with cross-functional teams to support ongoing business operations.

  • Bachelor’s degree or higher in Business Administration or related field.
  • Minimum 3–5 years of experience in Sales Coordination

  • Proficient with MS office (PowerPoint, Word, Excel)
  • Experience in SAP is preferred
  • Proficient in both Thai and English (spoken and written)
  • Good interpersonal and communication skills
  • Ability to multitask, prioritize, and work under pressure
